SAP Business One vendor portal for suppliers.

In shortA SAP Business One vendor portal is a website where your suppliers log in, see the purchase orders you sent them, confirm quantities and delivery dates, upload invoices and documents, and check payment status. Confirmed dates are written back to the purchase order in SAP Business One, and uploaded invoices arrive as A/P invoice drafts, or A/P invoices if you choose, for your team to check against the purchase order and goods receipt. Kodenova builds these portals on the Service Layer. Fixed price per phase, 3 months of free post-go-live support, and the client owns the code.
What’s included

What you get.

Purchase orders

Each supplier sees only its own open purchase orders from SAP Business One, with lines, quantities, prices and requested dates, and can download each PO as PDF.

PO confirmation

The supplier accepts the order or proposes changes per line; the confirmation is stored on the purchase order in SAP B1, so purchasing sees what is confirmed.

Delivery dates

Confirmed or changed delivery dates per line are written back to the purchase order, directly or after approval by purchasing, so planners work with the supplier’s date.

Invoice upload

The supplier uploads the invoice file and enters the key figures; the portal creates an A/P invoice draft linked to the purchase order or goods receipt, ready to check and post.

Payment status

Open, due and paid invoices, with payment dates and references from the outgoing payments in SAP Business One.

Documents

Delivery notes, certificates and quality documents exchanged per supplier and stored with the purchase order or business partner they belong to.

What does a supplier see in the portal?

Only its own data. Each supplier account is linked to one vendor business partner in SAP Business One, and every list and document is filtered by it. A supplier can have several users, for example sales and accounts receivable on the supplier’s side, each with their own rights.

Why do uploaded invoices arrive as drafts?

A draft lets your accounts payable team compare the supplier’s invoice with the purchase order and the goods receipt before anything is posted, and correct prices or quantities in SAP Business One. If you prefer, invoices that match the purchase order within a tolerance can be posted as A/P invoices directly; that rule is agreed in the specification.

FAQ

SAP Business One vendor portal: common questions

Can suppliers confirm purchase orders in the portal?

Yes. The supplier sees its open purchase orders from SAP Business One, accepts them or proposes changes per line, and the confirmation is stored on the purchase order so purchasing sees what is confirmed.

Can a supplier change the delivery date?

The supplier can confirm or propose a date per line. You choose whether the new date updates the purchase order in SAP Business One directly or waits for approval by purchasing.

Are uploaded invoices posted automatically in SAP Business One?

Not by default. They arrive as A/P invoice drafts linked to the purchase order or goods receipt, so your team checks and posts them. Automatic posting for invoices that match within a tolerance can be agreed in the specification.

Can suppliers see when they will be paid?

Yes. The portal shows open, due and paid invoices, with payment dates and references from the outgoing payments in SAP Business One.

Does each supplier user need a SAP Business One licence?

It depends on your SAP agreement and on how the portal uses SAP Business One, so we do not give a general rule. Check it with your SAP partner before the build; we design the integration to match the licensing model you agree with them.

Who owns the vendor portal code?

You do. The client owns the source code, database and documentation after each paid phase.
