SAP Business One sales dashboard without Power BI: what you need and what it costs
By Zain Abbas, Kodenova · Updated
The problem with “just use Power BI”
Power BI is a good product. For many SAP Business One companies, it is also more than they need for the first dashboard. To get a sales view live, you usually need:
- A licence for every person who views or builds reports.
- A way for Power BI to reach your SAP database or Service Layer, often a data gateway on a server.
- Someone who writes the queries, builds the data model and fixes it when SAP is upgraded.
- Time: often weeks before the sales manager sees a chart.
A sales manager usually wants something simpler: sales this year vs last year, by customer, by item group and by sales employee. Click a bar and filter everything.
Your options
| Option | Cost | Setup time | Best for |
|---|---|---|---|
| SAP B1 built-in analytics | Included | Low to medium | Standard KPIs inside the SAP client |
| Excel + saved queries | Included | Low | One-off analysis, finance teams |
| Power BI | About $14 per user per month for Pro (third-party 2026 figure) plus build time | Medium to high | Companies with a BI developer and Microsoft 365 |
| Browser dashboard on Service Layer | Free tier available | Minutes | Sales dashboards without licences or a BI project |
What a correct SAP B1 sales dataset needs
Whichever tool you choose, the data must be right first. A dashboard that is off by 1% loses the finance team’s trust for good. Check these five points:
- Cancelled documents excluded: filter
CANCELED = 'N'. - Credit notes subtracted: read
ORIN/RIN1as negative sales. - Header discount applied:
INV1.LineTotalis before the footer discount. We explain this in why SAP B1 sales reports don’t match. - One currency: use local currency (
LineTotal) unless you need foreign currency. - Reconciled once: compare with
DocTotal − VatSum − TotalExpns.
In our own test on a live company, the corrected dataset matched SAP exactly: 49,058.00 on both sides.
How the Kodenova dashboard works
The free SAP Business One dashboard builder runs in your browser:
- Drag and drop: 25 visuals, including KPI cards, combo, waterfall, treemap, heatmap and matrix.
- Click to filter: clicking a bar or slice filters every other visual, like Power BI.
- Time intelligence: year to date, last year, last 12 months and year-on-year change.
- Drill down: year to quarter to month to day, and customer group to customer.
- Formulas: add your own measures with DAX-like functions such as
DIVIDE,LYandYTD. - Export: CSV, PNG and PDF.
For live data, a small Kodenova Connector runs on your PC. It logs in to the Service Layer with a read-only user, saves a few SQL queries through Service Layer SQLQueries, and hands the results to the browser. It listens only on 127.0.0.1, never writes documents, and your password is not stored on our servers.
The Sales module is free. Purchasing, inventory, finance and receivables modules are planned as Pro modules.
When Power BI is still the right call
Choose Power BI if you need to combine SAP with many other data sources, share governed reports across a large organization, or you already have a BI team. A browser dashboard is the faster first step. Many companies use one to agree on the KPIs, then decide whether a full BI project is worth it.
Try it
Open the SAP B1 dashboard builder, click Start from a template, and you will see a full sales dashboard on sample data in under a minute. To connect your own company, download the connector from the same page. If you want the dashboard customized for your KPIs, contact us.

Frequently asked questions
Do I need Power BI to get dashboards from SAP Business One?
No. SAP Business One has built-in analytics, and any tool that can read the Service Layer or the database can chart your data. Power BI is a strong option when you already use Microsoft 365 and have someone to build and maintain the model.
How much does Power BI cost in 2026?
Third-party guides list Power BI Pro at about $14 per user per month and Premium Per User at about $24 per user per month in 2026. Check Microsoft's pricing page for your region before you budget.
Is it safe to connect a dashboard to SAP Business One?
Use a dedicated read-only user, connect over HTTPS, and keep credentials on your own network. The Kodenova connector runs on your PC, listens only on 127.0.0.1 and reads data through Service Layer SQL queries; it never writes documents.
Why do my dashboard numbers differ from SAP?
The usual causes are missing credit notes, cancelled documents, and the document-level discount, which INV1.LineTotal does not include. Reconcile once against DocTotal minus VatSum minus TotalExpns.
Does the free dashboard work offline?
Yes. The builder runs in your browser and works with sample data without internet. Live SAP data needs your PC to reach the Service Layer, which is usually on your local network.
